Q. How can I save my e-mailed reservation to an Excel file or SAP?
A. You can copy and paste material
numbers and quantities from the Reservation Request Form to Excel, and
then from Excel to SAP. Click

Q. When
saving my order, the Warning message says “On (today’s date)
only ZERO on hand…”, What do I do?
A. Please remember that SAP deducts
the Warehouse safety level (one month’s usage) from the balance
before reporting it on a reservation. Hit "Enter" to acknowledge
the message and continue to save your order.
If you’ll need to go elsewhere
and if the Warehouse is out of stock today, then you may go to two different
places to see if the Warehouse is actually out of stock…
1. In SAP you can go to Reservation > Display, and review the order.
Click on the item in question, then click on the word Environment >
Stock Overview. This screen will show you how many items are on hand in
the Warehouse, how many items are on order on reservations (including
yours), and if you black arrow to the right, how many items are on order
to come into the Warehouse.
2. On the Intranet, you can go to the Warehouse Web site, and open the
Backorders Excel file, to see if your item is on backorder. This file
is updated daily.
If you don’t want to keep
the item on your order, then e-mail AllanS@ocps.net with the reservation
number and the item to be deleted, and it will be removed from your order,
and the money returned to your budget.
If you don’t need the
material today, then leave your order, it will be shipped as a priority
as soon as it comes into the Warehouse, and you will receive it within
two work days.
Q. When
saving my order, the Warning message says “Budget…. Almost
exhausted…”, and then I lose my order.
A. While your SAP directions tell
you to hit the green check (some of you says that’s confusing, because
there is the OK green check and the “upper left” green check),
one way to avoid losing your order is to use the ENTER key on your keyboard
to acknowledge all warning messages.
If you get your messages in
the Information pop-up box, you will need to hit Enter TWO times for every
line of your order. If you get your messages at the bottom of your screen
only, you will need to hit Enter once for every line item. The good news
is that if you hit Enter too many times you will not lose your order.
Just keep hitting enter until all Warning messages are gone, and then
you can hit the File Folder “Save” Icon to get your new reservation
number.
