Moving E-Mailed Reservation Through Excel to SAP

Welcome to the non-typing way to save your e-mailed reservation requests through Excel to SAP.

First, please understand that there are at least 3 ways in Microsoft to Cut, Copy and Paste….However, two of the methods don’t Paste in SAP. I’ll be using only one method to avoid confusion, but those of you already experienced in Word and Excel, may choose to use your own methods…. I’ll be using the Hold the Ctrl button of your keyboard down and strike the letter “C” for Copy, and Hold the Ctrl button of your keyboard down and strike the letter “V” for Paste.

Second, please remember that these pages are Samples… Please don’t copy my
e-mail address or budget or Receiving Plant for the screen when creating your own order.

 

step 1.

When a Reservation has been e-mailed to you, open the e-mail and also open a blank Excel file or the Excel file you are using to save your orders.

Your e-mail will look something like this...

 

step 2.

Put your cursor on the first material number and then hold it while you drag it, not releasing it until you have finished coloring the last total dollar value.

Once you have the area colored, Hold the Ctrl button of your keyboard down and strike the letter “C” to Copy. It will look like nothing has happened, but your information is on the computer’s mental “clipboard”.

step 3.

NOW, click on your open Warehouse Reservations Excel file. Click on the first empty block of the area where you want to paste your order.

Hold the Ctrl button of your keyboard down and strike the letter “V” to Paste. The information will look funny but will be in the proper columns.

 

If you don’t plan on saving this information, you can click here to skip the next step. You will only be using the material number column and the quantity column...

 

step 4.

Some of you may already work better in Excel than I do, but for those of you who are not experienced, I’m going through all of the steps to make this worksheet look better. There will be many personal choices on how you’d like your file to be saved, but I will give you the basics as I have thought of them.

Once you’ve finished this, if you wish to learn more about how to use this file, I’d suggest that those of you who find this helpful, but haven’t had an Excel class in the past, to call the Helpdesk and sign up for one.

To make your Excel file more readable, you can download a blank “Warehouse Reservations” Excel file below. I think that most of you would like to save the worksheets (the little tabs at the bottom of the File’s workbook), either by teacher, or by Budget, or maybe by Department. That’s your choice.

In the printed example here, I clicked on the “Sheet 1” tab name on the bottom of the page, and then I right-clicked. I chose Rename, and named my first sheet “Allan’s Order”. Then I clicked on the sheet 2 tab and right-clicked and renamed that one “8661230001” (my budget number). My stuff isn’t nearly as complicated as yours, so you decide how you want to sort it. If you don’t want to sort it at all, then you don’t even have to name the sheets. It will automatically come up to Sheet 1….
